Fax Routing
Tired of junk faxes? Tired of paying for faxes you don't need? Would you like to be able to route faxes securely to a folder as an easily viewable image? Or would you like to recieve them in your email inbox? Read on
Inbound Fax Routing is a process by which we can use either a subnumber or a sending fax number to determine where a fax should go. There are several ways we can acomplish this. All of them require a fax that is connected to your network.
- Routing to email
- Several of our faxes have this feature onboard and our techs can set this up for you
- How it works:
- A fax is received into memory.
- The machine checks the information from the sending fax for a sub-number or a programmed sending number
- Instead of being printed it is resent to an email address based on the sub-number or sending number
- Advantages:
- No more wasted paper
- One person can easily redirect faxes to the sender
- Junk faxes can be screened based on the sending number
- Faxes can easily be backed up
- Limitations:
- Email transmissions are currently unsecure whereas fax transmissions are fairly secure
- Sub numbers are supported by most new fax machines but many senders don't know they have them on their machine
- Routing to a secure folder
- This requires both a network MFP and the ScanRouter Pro application
- How it works:
- A fax is received into memory
- All faxes are routed to the ScanRouter Pro Server(Don't be scared- ScanRouter Pro runs on any Win2k or XP box)
- Based on the sub-number or sending number the ScanRouter Pro Server routes the faxes to preset folders or In-Trays on the network
- Advantages:
- The data never leaves your network so it is more secure than email
- Faxes can easily be archived
- Only print the ones you need
- Folders can be established with security settings to maintain confidential information
- Limitations:
- Same sub number limitation as above
- Not as easy to forward faxes to another user
- Requires additional software
Hopefully this has helped you te see some of the possibilities with your fax machine. We implement these inhouse so feel free to set up a demo- we would be happy to show you how it works!
